KMTC Streamlines Transcript Issuance by Devolving Services to Campuses

The Kenya Medical Training College (KMTC) has dispatched 11,000 transcripts to various campuses across the country for students who completed their Final Qualifying Examinations (FQE) in January and February 2024. This initiative reflects KMTC’s commitment to improving the turnaround time for issuing transcripts, which has been a long-standing challenge for students.

Improved Service Delivery and Devolution

KMTC’s decision to devolve the issuance of transcripts to its campuses was prompted by numerous requests from students, who sought a more convenient and accessible process. Previously, students were required to travel to the College headquarters in Nairobi to collect their transcripts, often resulting in delays and additional costs.

In a statement released on its official X handle, KMTC announced the dispatch of the first batch of transcripts, fulfilling a promise to decentralize this critical service. The statement read, “You asked us to devolve the issuance of transcripts to the Campuses, and we listened. We are pleased to announce that we have dispatched around 11,000 transcripts to various Campuses for students who took their Final Qualifying Examinations (FQE) in January and February 2024.”

The second batch of transcripts, for students who took their FQEs in June and July, is currently being processed and is expected to be dispatched in October 2024. This staggered approach ensures that all students receive their transcripts in a timely manner, in line with the College’s service improvement objectives.

CEO Dr. Kelly Oluoch’s Commitment to Excellence

Commenting on the dispatch, KMTC CEO Dr. Kelly Oluoch underscored the College’s dedication to implementing client suggestions as part of its broader strategy to provide excellent services. Dr. Oluoch highlighted that devolving the issuance of transcripts will significantly improve the turnaround time for delivering the service, addressing a critical pain point for many students.

“This move is a testament to our commitment to enhancing service delivery and listening to the voices of our clients,” Dr. Oluoch said. “By devolving the issuance of transcripts, we are not only making the process more accessible but also ensuring that students can receive their transcripts in a timely manner, thereby supporting their career progression.”

Dr. Oluoch clarified that the new service of issuing transcripts at campuses applies only to students who took their FQEs in 2024. Students who graduated in 2023 or earlier will still need to collect their transcripts from the College headquarters in Nairobi. This distinction ensures that the new system is efficiently managed while still catering to the needs of students from previous cohorts.

Engagement at the Diaspora Job Fair

This initiative comes just two weeks after KMTC participated in the 2024 Diaspora Job Fair for the Western Region, held at Mbale High School in Vihiga County. During the event, the College set up a tent where graduates could apply for and receive their transcripts on the spot, further showcasing KMTC’s proactive approach to service delivery. This engagement not only provided an opportunity for graduates to obtain their transcripts quickly but also highlighted KMTC’s responsiveness to the needs of its diverse student population.

Conclusion

KMTC’s efforts to devolve the issuance of transcripts represent a positive step towards more efficient and student-centered service delivery. By bringing services closer to students, the College is making it easier for them to access essential documents, thereby supporting their transition into the workforce. As KMTC continues to process and dispatch transcripts for subsequent cohorts, this initiative is likely to set a precedent for other educational institutions looking to improve their service delivery models.

In an increasingly competitive job market, timely access to academic transcripts is crucial for graduates seeking employment opportunities. KMTC’s decision to decentralize this service underscores its commitment to supporting its students’ career aspirations and enhancing overall client satisfaction.
